SPRING FLING WEEKEND INFORMATION

The following information includes important tournament information that we have shared with club directors and coaches to share with spectators and athletes. This page includes important information for anyone attending this event.

VENUE+TVA POLICY
  • We recommend anyone 5 years and older to wear a face mask at all times.
  • Coaches, club directors, parents, and spectators are responsible for confirming that anyone attending or participating has not had COVID-19 symptoms within the 5 days leading up to the event OR come into contact with someone who has tested positive for COVID-19 within 5 days and not received a negative test result between 5-10 days after that contact. For more information on what is suggested, click here. If the team has been exposed to someone who has tested positive for COVID-19 within the CDC guidelines, please notify us immediately.
  • Individuals who are sick or not feeling well, please stay home
  • Individuals who are at risk or immunocompromised are encouraged to stay home.
  • Signs will be present directing individuals where to enter. Spectators are to enter through the main entrance where the ticket booth and admissions will be. Teams are to enter through the double doors about 100 feet to the right of the main entrance when facing the building.
  • No outside chairs allowed. Bleacher seats and seat cushions will be allowed. All spectators will be required to sit in the assigned bleachers.
  • No outside food or beverages allowed with the exception of water. Concessions will be provided by the venue.
  • No tailgate tents will be allowed.
  • No firearms permitted.
  • No smoking is permitted inside at any time (Electronic cigarettes / vapes included.) 
  • No alcohol is permitted to be brought into the facility.
  • No pets are allowed. This includes service animals not trained to perform a necessary life-saving task as defined by VA State Law

Parking is free.

TOURNAMENT QUESTIONS

Any tournament questions should be directed to the Championship Desk.

TEAM CHECK-IN

An adult club/team representative will need to check in prior to each team's first match by turning in a printed and signed Sportwrench team roster for this specific event to the Tournament Director on Saturday. Keep the following in mind with your roster:

  • The roster you turn in should be your team's roster from AES specifically for this event.
  • Because this is a JVA-sanctioned event, all adults on the roster must have some sort of verification under the column "BG Screen. Ver."
WARMUP BALLS

Teams will need to bring warm up balls. TVA will provide game balls.

WORKING ASSIGNMENT

When your team has a working assignment, you will need people responsible for the following positions: R2, two line judges, score sheet, score flipping, and libero tracking.

BENCH AND REFEREE AREAS

Please, encourage your athletes to clean up their areas when done. For example, leave the game areas clear of all trash after playing or reffing. Do not leave items sprawled out throughout the building when done with your break(s).

ONE DAY TOURNAMENT FORMAT

Every team is guaranteed the number of sets equal to 4 matches. 

Format for pool play will depend on the number of teams within a division and pool. 

Pool winners will be determined by set percentage. If there is a tie, it will go to the point differential. If there is a tie, there will be a coin toss.

TWO DAY TOURNAMENT FORMAT

Every team is guaranteed the number of sets equal to 5 matches. Aka, each team will play a minimum of 6 sets on Saturday and 4 sets on Sunday. Pool play will take place on Saturday with playoffs on Sunday.

Format for pool play will depend on the number of teams within a division and pool. Pools with four teams or three teams playing a crossover match will play two sets to 25 with a third set to 15 if needed.

Pool winners will be determined by set percentage. If there is a tie, it will go to the point differential. If there is a tie, there will be a coin toss.

Playoffs will be best two out of three. The first two sets will be to 25 with the third set, if needed, to 15.

SCHEDULE

The schedule and results will be updated on the ASE website throughout the tournament. The schedule link will be available by Wednesday evening. Doors will open an hour prior to the first match of the AM wave.

ADMISSIONS

Admission is $30 plus venue processing fee per person for the entire weekend and $20 plus venue processing fees for one day. Children 5 and under are FREE.

Tickets will be available for purchase at the entrance when doors open. Tickets will be sold online at a later date. Note that the venue is in charge of ticket sales and only accepts cards, no cash.

If purchasing your ticket online, make sure that you do not have any typos in your email address before submitting! You will receive an email with your QR code(s) to be scanned upon entrance. If you have a typo in your email, you will not be able to access your QR code.


JVA SANCTIONED EVENT TEAM REQUIREMENTS PER JVA POLICIES

THIS IS WHERE A LOT OF TEAMS RUN INTO ISSUES EACH SEASON! PLEASE, DO YOURSELF A FAVOR AND BE PROACTIVE TO MAKE SURE THAT YOU DO EVERYTHING NEEDED TO ENSURE YOUR TEAMS ARE READY TO GO COME TOURNAMENT WEEKEND.

One of the reasons for hosting a JVA-sanctioned event and why many clubs are drawn to them is because they do NOT require a specific membership. HOWEVER, there are still requirements that must be met in order to participate in a JVA-sanctioned event just like any other tournament. Please, read through those below.

ROSTER

Any adult and participating athlete MUST be on the signed roster turned in at team check-in. Click here if you need information on how to create, update and print a team roster.

APPROPRIATE BACKGROUND SCREEN AND TRAINING

While no specific membership is required, a JVA-verified background screening is required for any adult on the bench.

I believe this is where a lot of people get confused in thinking that memberships are required.

All adults listed on the roster must complete the Background Screen and APS training unless they have a USAV screen and Safe Sport certification. No matter what though, action is required each season.

NOTE that depending on the route you must go with below, this can take up to ten business days. Please, do not wait until the week of an event to get this done.

Here is what each adult on the roster will need to do based on their memberships or lack there of in order to be ready for all JVA-sanctioned events this season.

(1) If the individual is a JVA member and has a current background screening through this current season, they are all set!

(2) If the individual has a USAV membership, their USAV background screen and Safe Sport certification is sufficient and they will not need to take the JVA training. HOWEVER, action is still needed. EITHER the individual will need to go to JVA Registration and do the following: click on the affiliations page, select USAV, and enter in their USAV number. OR someone with the club can email JVA directly a spreadsheet with a list of all adults on their teams' rosters with the First Name, Last Name, Date of Birth, and USAV number of each individual. That list can be sent to members@jvavolleyball.org

(3) If the individual does NOT have a current background screen and training through USAV or JVA, they will need a background screening and APS training

A JVA screening is good for two years. If done within this last year, they are already set! If not, they will need to do this in order to meet JVA policy. Please, make sure to complete this step early enough to be current come game day. If this is the case but you are still running into issues, contact JVA at members@jvavolleyball.org

 

PREPARE THE REQUIRED PAPERWORK IN ADVANCE

JVA Participant Release and Liability Form for each participating athlete. Coaches need to have these on them at all times at JVA event. Hard or electronic copies. 

Medical Release/Waiver Form for each participating athlete. USAV/AAU forms are allowed. Coaches need to have these on them at all times at JVA events. Hard or electronic copies. 

JVA Coaches Event Sign-In Form for each participating team. This is part of team check-in with every JVA event.

JVA ROSTER REQUIREMENTS

Rosters are to be entered in Sportwrench for each event by the Saturday prior to the tournament weekend. Each roster should include the following:

(1) Any adult that will be on the bench and any participating athlete.

(2) For all adults, “Yes” or other form of confirmation in the column titled “BG Screen. Ver.”

(3) Jersey numbers and birthdays for all participating athletes.

NOTE Plugging in a coach's email address does not ensure that they will receive tournament emails as they must opt-in with whichever email is being used to receive Sportwrench emails. Read the section above that goes over ensuring everyone receives the proper emails. COACHES, I would suggest you check with your Club Directors to make sure you are receiving appropriate information. The sooner the better so that no important information is missed.

 

TEAM CHECK-IN REQUIREMENT

Check-in will be the Friday and Saturday of each tournament prior to each team's first match. If your roster does not not show membership numbers for everyone listed, check on the status of the individual with AAU/USAV and that all information needed has been integrated into Sportwrench appropriately.

An adult club representative of each team must turn in a printed and signed Sportwrench roster specific to this event to the Tournament Director at the team's venue prior to playing.
